Inviting Team Members

14 min read Updated 4 November 2026

Invite colleagues to your Enquete workspace so you can work together on surveys and feedback. Each person uses their own account, and you choose whether they join as an Editor or Viewer.

For example, you can invite a colleague as an Editor to help create surveys and manage campaigns. If someone only needs to review feedback, invite them as a Viewer and share the relevant surveys with them.

Before you start

  • You must be the workspace Owner to invite people, change team permissions, remove members, or revoke invitations.
  • Your workspace must have enough available seats for the people you want to invite.
  • A company name is required when sending invitations.
  • You can invite up to 20 people at once.

Understanding team permissions

Permission What the person can do
Owner Manage the workspace and its team, including invitations, member permissions, and member removal. This role belongs to the person who created the workspace and cannot be assigned through an invitation.
Editor Create and edit surveys, manage campaigns, contacts, and integrations, and share surveys with existing team members. Editors have access to all surveys in the workspace but cannot manage the team.
Viewer Review results and responses for surveys shared with them. Viewers see the Dashboard menu and the Shared with Me tab.

A workspace Viewer can also receive Editor access to a particular survey through survey sharing. This allows them to edit and distribute that survey without becoming an Editor for the entire workspace.

Understanding team seats

A seat is one place in your workspace. The workspace Owner, each active member, and each pending invitation use one seat.

For example, a workspace with three seats can have the Owner and two additional members. If one person has joined and another has a pending invitation, all three seats are already in use.

On the Team page, the Seat Usage card shows:

  • Active: The number of current workspace members, including the Owner.
  • Pending: The number of invitations awaiting acceptance.
  • Available: The number of seats remaining.

If your plan has unlimited seats, the card displays Unlimited plan.

How to invite team members

Step 1: Open the correct workspace

Log in to Enquete and open the workspace you want your colleagues to join.

If you have access to several workspaces, click the workspace button at the top right. It shows a building icon, the workspace name, and your permission. Under Your workspaces, select the workspace you want to manage.

Step 2: Open the Team page

In the top menu, click Team, located to the right of Contacts. The Team Members page opens.

You can also open this page by clicking the workspace button at the top right and selecting Manage team members.

Only the workspace Owner can make changes to the team.

Step 3: Check your available seats

Look at the Seat Usage card and check the number shown under Available. You need one available seat for each person you invite.

If there are no seats available, you can upgrade your plan or revoke invitations you no longer need before inviting more people.

Step 4: Open the invitation window

Click the blue Invite Members button at the top right of the Team page.

The Invite Team Members window opens.

Step 5: Check your company name

In Company name, check the name filled in from your profile. Enter a company name if the field is empty.

This name is used to identify the sender in invitation and welcome emails.

Note: If you change the company name here, the updated name is also saved to your profile when you send the invitations.

Step 6: Add email addresses

In Email addresses, type the email address of the person you want to invite, then press Enter. The address appears as a blue label.

Repeat this for each person you want to invite. You can also press comma or space after an address to add it to the list.

Check each address before sending. To remove an address, click the small × on its label.

You can add up to 20 email addresses per invitation batch, provided enough seats are available.

Step 7: Choose a permission

Under Permission, select:

  • Viewer: For people who need to review results and responses from surveys shared with them.
  • Editor: For people who need to create and edit surveys and manage other workspace content.

Viewer is selected by default. The permission you choose applies to every email address in this batch.

If different people need different permissions, send separate batches or change their permissions after they join.

Step 8: Add a personal note

If you want to explain why you are inviting the recipients, enter a message in Personal note. This is optional and can contain up to 1,000 characters.

For example: Please join our workspace to help review the results of our customer satisfaction survey.

Your note is included in the invitation email.

Step 9: Send the invitations

Click Send 1 Invitation or Send N Invitations, depending on how many addresses you added.

The window displays Reserving seats and sending invitations… while the request is processed.

Once the invitations are confirmed, a success message appears and the window closes automatically.

Step 10: Review the pending invitations

On the Team page, look at Pending Invitations. New invitations may take a short time to appear.

Each row shows the invited email address, assigned permission, when the invitation was sent, and when it expires.

Invitations are valid for seven days. Each recipient must open the link in their invitation email and complete the acceptance steps.

How to accept an invitation with an existing account

Step 1: Open the invitation email

Open the Enquete invitation email and click the invitation link. The page checks whether the invitation is still valid.

Step 2: Check the account you are using

If you are already signed in, check the account name shown on the invitation page. Use the account associated with the invited email address.

If a different account is signed in, click Switch account before continuing.

Step 3: Sign in if required

If you are not signed in and an account already exists for the invited email address, the page displays a sign-in form.

Your email address is filled in automatically and cannot be changed. Enter your password, then click Sign In & Accept Invitation.

Step 4: Accept the invitation

On the invitation page, review the workspace name and your assigned permission. Click Accept Invitation & Join [workspace name].

A Welcome to the team! message appears, and you are redirected to Enquete.

Step 5: Open the workspace

If you belong to only one workspace, it opens automatically. If you belong to several, choose the invited workspace on the Select workspace page.

The workspace Owner receives an email confirming that you joined, and you receive a welcome email.

How to accept an invitation without an existing account

Step 1: Open the invitation email

Open the invitation email and click the invitation link.

If no account exists for your invited email address, the Join [workspace name] registration form appears. If another account is already signed in, click Switch account first.

Step 2: Enter your name

Enter your first name and last name. Each must contain between 2 and 50 characters.

Your email address is filled in from the invitation and cannot be changed.

Step 3: Create your password

Enter a password of at least six characters, then enter it again in the confirmation field. Both entries must match.

Step 4: Create your account and join

Click Create Account & Join Team.

After your account is created and the invitation is accepted, a Welcome to the team! message appears. You are then redirected to the login page.

Step 5: Log in to your workspace

Log in using your invited email address and the password you created. If this is your only workspace, it opens automatically.

You receive a welcome email, and the workspace Owner receives confirmation that you joined.

How to check whether someone has joined

Step 1: Open the Team page

Open the relevant workspace, then click Team in the top menu.

Step 2: Check Pending Invitations

Look for the person’s email address under Pending Invitations. If it is still listed, the invitation has not yet been accepted.

Check the Expires column to see whether the invitation is still valid. An expired invitation displays an Expired label.

Step 3: Check Active Members

Once the person accepts, their invitation is removed from Pending Invitations and they appear under Active Members.

Their row shows their name, email address, permission, and last active date. The Last Active column may display Never if no activity has been recorded.

How to change a team member’s permission

Step 1: Open the Team page

As the workspace Owner, open the relevant workspace and click Team in the top menu.

Step 2: Find the member

Under Active Members, find the person whose permission you want to change. Check their name and email address.

Step 3: Select the new permission

In their row, open the Permission dropdown and select Editor or Viewer.

The change is saved immediately. There is no separate Save button or confirmation step.

The workspace Owner’s permission cannot be changed.

Step 4: Ask the member to reopen the workspace

Ask the member to open their user menu, select Switch account, and choose the workspace again. They can also log out and log in again.

This updates the menus and options to reflect their new permission. Refreshing the page alone may not update them.

If you change an Editor to a Viewer, review their existing survey shares as well. A survey shared with Editor access can still allow them to edit and distribute that particular survey.

How to revoke a pending invitation

Step 1: Open the Team page

As the workspace Owner, open the relevant workspace and click Team in the top menu.

Step 2: Find the invitation

Under Pending Invitations, find the email address of the person whose invitation you want to cancel.

Step 3: Select “Revoke invitation”

Click the grey × button in the invitation’s Actions column. This is the Revoke invitation action.

Step 4: Confirm the revocation

The Revoke Invitation window shows the email address. Check that it is correct, then click Revoke Invitation.

Step 5: Check that the invitation has been removed

The invitation disappears from Pending Invitations and its reserved seat is released. The invitation link in the original email no longer works.

Revoking an invitation does not remove an active team member. If the person has already joined, use Remove member instead.

How to send a new invitation

There is no Resend button. To send another invitation to the same address, revoke the existing invitation and invite the person again.

Step 1: Open the Team page

As the workspace Owner, open the relevant workspace and click Team in the top menu.

Step 2: Revoke the previous invitation

Under Pending Invitations, find the email address and click the grey × button. In the confirmation window, click Revoke Invitation.

Do this even if the existing invitation is marked Expired. Expired invitations continue to reserve a seat and block a new invitation to the same address until revoked.

Step 3: Create a new invitation

Click Invite Members. Check the company name, add the person’s email address, and select Editor or Viewer. Add a personal note if needed.

Step 4: Send the new invitation

Click Send 1 Invitation.

The person receives a new email with a new invitation link valid for seven days. Ask them to use the latest email, as the previous link no longer works.

How to remove a team member

Step 1: Open the Team page

As the workspace Owner, open the relevant workspace and click Team in the top menu.

Step 2: Find the member

Under Active Members, find the person you want to remove. Check their name and email address carefully.

Step 3: Select “Remove member”

Click the red trash icon in the member’s Actions column.

The Remove Member window opens and asks you to confirm the removal.

Step 4: Confirm the removal

Click Remove Member to continue, or Cancel to keep the person in the team.

After removal, the person disappears from Active Members and their seat is released. Their Enquete account remains available, along with any other workspaces they belong to.

You cannot remove yourself or the workspace Owner.

Step 5: Remove any existing survey shares

Removing a team member does not automatically remove their survey shares. These shares may become available again if the person rejoins the workspace.

To remove a survey share, go to Dashboard → Home → My Surveys. On the relevant survey card, open the three-dot menu (⋯) → Share survey. Under Current shares, find the person and click Remove access.

Repeat this for each survey shared with the removed member.

How to switch between workspaces

Step 1: Open the workspace menu

Click the workspace button at the top right. It displays the current workspace name and your permission.

Step 2: Select a workspace

Under Your workspaces, click the workspace you want to open. Each workspace has a badge showing your permission: Owner, Editor, or Viewer.

Step 3: Continue in the selected workspace

The survey overview opens for that workspace. The available menus depend on your permission there.

You can also open your user menu and select Switch account to return to the Select workspace page.

How to upgrade when you need more seats

Step 1: Check your seat usage

Open Team and review the Seat Usage card. Check the Active, Pending, and Available counts.

If invitations are no longer needed, revoke them to release their reserved seats.

Step 2: Open the plan options

Click Upgrade your plan in the Seat Usage warning or invitation window.

If the Seat Limit Reached window appears after you try to send invitations, click Upgrade Plan.

Step 3: Choose a suitable plan

On the pricing page, review the plans and choose one with enough seats for your team. Include the workspace Owner and pending invitations when calculating how many seats you need.

Step 4: Return to the Team page

After completing the upgrade, return to Team and check your available seats. Click Invite Members to send the invitations again.

Troubleshooting

I cannot see the Team menu

The Team menu is shown only to the Owner of the active workspace. Check that you have opened the workspace you own. Editors and Viewers cannot manage the team.

The Send Invitations button is disabled

Wait for your profile to finish loading, add at least one email address, and check that seats are available. Press Enter after typing an email address to add it to the invitation list.

I see “Company name is required before inviting team members”

Enter your company name in the invitation window, then send again. The name is saved to your profile and used in the invitation emails.

I see a message that someone is already a member

Check Active Members and remove existing members’ addresses from your invitation list. You cannot invite yourself or someone who already belongs to the workspace.

If one address in a batch belongs to an existing member, the entire batch is rejected. Correct the list and send it again.

I see a message that a pending invitation already exists

Check Pending Invitations for the email address. If you need to send a new invitation, revoke the old one first. This also applies to invitations marked Expired.

The invitation is invalid or expired

Invitation links expire after seven days and cannot be used after they have been accepted or revoked. Ask the workspace Owner to revoke any old pending invitation and send a new one.

The invitation email has not arrived

Ask the recipient to check their spam or junk folder. On the Team page, confirm that the email address is correct and appears under Pending Invitations.

If a new email is needed, revoke the pending invitation and send another one.

The page keeps showing “Reserving seats and sending invitations…”

If processing does not finish, reopen the Team page and check Pending Invitations before trying again. If the invitation remains missing and the issue continues, contact support.

A valid email address is rejected

Check for typing errors or extra characters. If the address is correct but is still rejected, contact support. Some longer email domain endings may currently be rejected by the invitation form.

A member cannot see any surveys after joining

If the person joined as a Viewer, surveys must be shared with them separately. They will find those surveys under Dashboard → Home → Shared with Me.

Inviting someone as a Viewer does not automatically share every survey in the workspace.
