Sharing Surveys with Team Members

10 min read Updated 4 November 2026

Share a survey with your team so colleagues can review responses, view results, or help you edit and distribute it. You can choose the access level for each person when you share the survey.

For example, you might give a colleague Viewer access to review customer feedback, while giving another colleague Editor access to help update the questions and distribute the survey.

Before you start

  • You must be a workspace Owner or Editor to share surveys or remove shared access.
  • The person you want to share with must already be an active member of the same workspace. If they have been invited, they must accept the invitation first.
  • Make sure you have opened the workspace containing the survey.

A team member with the workspace role Viewer cannot share surveys with other people, even when they have Editor access to a particular survey.

Understanding the access levels

When sharing a survey, you can choose Viewer or Editor.

Access level What the person can do
Viewer View the survey results and individual responses.
Editor View results and responses, edit the survey questions, and access the distribution options.

Important: These access levels control survey access for team members whose workspace role is Viewer. Workspace Owners and Editors already have access to all surveys in the workspace. Sharing a survey with them as Viewer does not make it read-only or reduce their existing permissions.

How to share a survey

Step 1: Open your survey overview

In the top menu, go to Dashboard → Home. Select the My Surveys tab to see the surveys in your workspace.

Step 2: Open the sharing options

Find the survey you want to share. Click the three-dot menu (⋯) on the right of the survey card, then select Share survey.

The Share survey window opens. Here, you can add team members and see who the survey has already been shared with.

Step 3: Select a team member

In the Add team member section, open the Team member dropdown and select the person you want to share with. Each person is listed with their name and email address.

The dropdown shows active members of the current workspace who do not already have a share for this survey. People with pending invitations are not included.

Select another team member rather than your own name.

Step 4: Choose an access level

Under Access level, select one of the following:

  • Viewer: Choose this when the person only needs to review results and responses.
  • Editor: Choose this when the person also needs to edit and distribute the survey.

Viewer is selected by default.

Step 5: Share the survey

Click Share. The button displays Sharing… while your selection is being saved.

After sharing, a confirmation message appears and the person is added to Current shares. An email notification is sent with the survey title, workspace, access level, and details of who shared it.

You can repeat these steps to share the survey with more team members. Click Close when you are finished.

See who a survey is shared with

Open the survey’s three-dot menu (⋯) → Share survey and look at Current shares.

For each person, you can see:

  • Their name and email address.
  • Who shared the survey with them and when.
  • Their shared access level: Viewer or Editor.
  • A Remove access button.

How to see who a survey is shared with

Step 1: Open your survey overview

In the top menu, go to Dashboard → Home. Select the My Surveys tab.

Step 2: Open the sharing options

Find the survey you want to check. Click the three-dot menu (⋯) on the right of the survey card, then select Share survey.

Step 3: Review the current shares

In the Share survey window, look at the Current shares section. The number next to the heading shows how many active shares the survey has.

For each person, you can see their name, email address, access level, and who shared the survey with them and when.

The access badge displays Viewer or Editor. Remember that workspace Owners and Editors retain their full workspace permissions, regardless of the access level shown here.

Note

If there are no shares, you will see the message: This survey hasn't been shared with anyone yet.

Step 4: Close the sharing window

Click Close at the bottom right when you have finished reviewing the shares.

How to open a survey shared with you

Step 1: Log in and open the correct workspace

Log in to your Enquete account and open the workspace where the survey was shared with you.

Shared surveys are listed separately for each workspace. If you open a different workspace, you will not see the survey in its Shared with Me list.

Step 2: Open your survey overview

In the top menu, go to Dashboard → Home.

Step 3: Open “Shared with Me”

Select the Shared with Me tab, identified by the people icon.

If your workspace role is Viewer, this tab opens automatically and the My Surveys tab is not shown.

Step 4: Find the shared survey

Find the survey you want to open. Each card shows the survey title, your shared access level, who shared it with you, the sharing date, and the total number of responses.

If you have several shared surveys, use the search box above the list to search by title. You can also use the sort dropdown to arrange the surveys by sharing date, title, or the person who shared them.

Step 5: Choose what you want to do

On the survey card, select the action you need:

  • View results: Open the survey analytics and results. You can also click the survey title to open the results.
  • View responses: Open the individual survey responses.
  • Edit: Click the pencil icon to open the survey builder. This option appears on shared cards with Editor access.
  • Distribute: Click the link icon to open the survey distribution options. This option appears on shared cards with Editor access.

Note

If you see No shared surveys yet, check that you have opened the correct workspace and ask the person who shared the survey to confirm that you appear under Current shares.

How to change someone’s access level

To change a person’s shared access level, first remove their existing share, then share the survey with them again using the new access level.

Step 1: Open your survey overview

In the top menu, go to Dashboard → Home. Select the My Surveys tab.

Step 2: Open the sharing options

Find the survey. Click the three-dot menu (⋯) on the right of the survey card, then select Share survey.

Step 3: Remove the existing share

Under Current shares, find the person whose access level you want to change. Click the red Remove access button next to their name.

Important: The share is removed immediately, without a confirmation step. You will need to share the survey again to give the person their new access level.

Important:

The share is removed immediately, without a confirmation step. You will need to share the survey again to give the person their new access level.

Step 4: Select the team member again

In the Add team member section, open the Team member dropdown and select the same person. Their name becomes available again after their previous share is removed.

Step 5: Choose the new access level

Under Access level, select the permission you want to give:

  • Viewer: Allows the person to view results and individual responses.
  • Editor: Also allows the person to edit and distribute the survey.

Note: Selecting Viewer does not reduce the existing permissions of a workspace Owner or Editor.

Step 6: Share the survey again

Click Share. The button displays Sharing… while the share is being saved.

After sharing, the person appears under Current shares with the new access badge. A new email notification is sent to them.

Step 7: Close the sharing window

Check that the correct access level is displayed next to the person’s name, then click Close.

How to remove shared access

Step 1: Open your survey overview

In the top menu, go to Dashboard → Home. Select the My Surveys tab.

Step 2: Open the sharing options

Find the survey you want to manage. Click the three-dot menu (⋯) on the right of the survey card, then select Share survey.

Step 3: Find the team member

In the Current shares section, find the person whose shared access you want to remove. Check their name and email address to make sure you have selected the correct person.

Step 4: Remove their shared access

Click the red Remove access button next to their name.

Important: The share is removed immediately. There is no confirmation step, and no email notification is sent to the person.

Step 5: Check that the share has been removed

The person disappears from Current shares, and the number of active shares decreases. If they are still an active team member, they become available again in the Team member dropdown.

When the person refreshes Shared with Me, the survey will no longer appear in that list.

Removing a share does not remove the person from your team or change their workspace role. Workspace Owners and Editors retain their existing access to the survey through My Surveys.

Step 6: Close the sharing window

Click Close when you are finished.

If you remove someone from your team, also remove their survey shares. Existing shares are retained when a team member is removed and may become available again if that person rejoins the workspace.

Troubleshooting

I cannot find “Share survey”

Check that you have opened the correct workspace and selected My Surveys. Only workspace Owners and Editors can share surveys. Having Editor access to one shared survey does not give a workspace Viewer permission to share it.

If your workspace role was recently changed, open the workspace again to update the available options.

The person I want to select is not in the dropdown

Check that the person is an active member of the same workspace and has accepted their team invitation. If they already appear under Current shares, remove their existing share first if you want to choose a different access level.

I cannot find a survey that was shared with me

Open the correct workspace and check Shared with Me. Clear any search text that may be filtering the list, then refresh the page. If the survey still does not appear, ask the person who shared it to check Current shares.

The sharing email did not arrive

Check your spam or junk folder. You can also log in and open Shared with Me in the relevant workspace. A survey can be shared successfully even if the notification email is not delivered.

I see “You are not allowed to share this survey”

Your account must have the workspace role Owner or Editor. If your role has recently changed, open the workspace again before trying.

I see “This survey no longer exists”

The survey may have been deleted or may no longer be available in the selected workspace. Return to the survey overview and check that it is still listed.

I see “This share no longer exists”

Another team member may already have removed the share. Close and reopen the Share survey window to see the current list.
